Referall Process

Who Can Make a Referral

Referrals and enquiries can be made by:

  • Local Authorities — SEN case officers, commissioning teams and SENCOs
  • Parents and carers who feel SENARP Vibe may suit their child
  • Social care and health professionals supporting a family
  • Current schools or settings where a change of placement is being considered

We aim to respond to all initial enquiries within 2-5 working days. The time taken to progress from initial enquiry to placement depends on the complexity of the case, the availability of documentation and the Local Authority's own processes, but we are committed to being as prompt and responsive as possible.

Our Referral Process

1. Initial Enquiry Contact us by phone or email to share a brief outline of the child or young person. At this stage, we can let you know whether we have current or anticipated capacity, and whether our provision is likely to be a good match.

2. Sharing of Information Where we feel there may be a match, we will ask for the following documents to be shared securely:

  • The pupil's Education, Health and Care Plan (EHCP)
  • Recent educational psychology or other professional reports
  • Current or most recent school reports
  • Any relevant risk assessments, behaviour support plans or therapy reports
  • Safeguarding information, where relevant

3. Assessment of Suitability Our leadership team will review the information provided and assess whether we are able to meet the pupil's needs safely and effectively. This includes considering the profile of the existing pupil cohort and the specialist skills of our staff team.

4. Placement Decision and Transition Planning If all parties agree SENARP Vibe is the right school, we work closely with the Local Authority, family and current setting to plan a smooth, phased transition tailored to the pupil's needs.
